Privacy Policy.

EdCipher Math (“we,” “our,” or “us”), a product of JDOM LLC, is committed to protecting the privacy of every person who visits or uses edciphermath.com (the “Platform”) — including those who sign up for our pre-launch waitlist. This Privacy Policy explains what information we collect, how we use it, who we share it with, and what rights you have.

By accessing our Platform or submitting your information through our waitlist form, you agree to the practices described in this policy. If you do not agree, please do not use our Platform or submit your information.

Who We Are

EdCipher Math is an adaptive math learning platform designed to help students prepare for college placement assessments, including the TSIA2. The Platform is operated by JDOM LLC, a Texas-based limited liability company. We currently serve two audiences:

  • Pre-launch waitlist subscribers — individuals who have signed up to receive early access, product updates, and founding member benefits before the Platform’s public launch.
  • Institutions (at launch) — schools, community colleges, and testing centers that license the Platform for use with their students.

Information We Collect

We collect only the information necessary to operate and improve our services. This currently includes:

Information You Provide Directly
  • Waitlist registration — first name, email address, role (e.g. teacher, student, parent), and your response to the question “what is the biggest challenge you’re trying to solve right now?”
  • Account registration (at launch) — name, email address, username, and password.
  • Institutional information — school or organization name, district, and point-of-contact details (for institutional accounts).
  • Payment information — processed securely through a third-party payment processor. We do not store your credit card number.
  • Communications — messages you send us through contact forms or email.
Information Collected Automatically
  • Usage data — pages visited, features used, time spent, and actions taken on the Platform.
  • Performance data — quiz scores, question responses, accuracy rates, and learning progress.
  • Device information — browser type, operating system, IP address, and device identifiers.
  • Cookies and similar technologies — used to maintain sessions, remember preferences, and analyze usage. See Section 9 for more.
Information from Institutions

When we contract with a school or institution, the institution may provide us with student roster data such as names, grade levels, or student ID numbers for account setup. In this context, the institution acts as the data controller and we act as a service provider.

Waitlist & Pre-Launch Data waitlist

EdCipher Math is currently in a pre-launch phase. Our waitlist form at edciphermath.com collects the following information for the sole purpose of managing founding access and improving the product:

First name · Email address · Role (teacher, student, parent, admin, counselor, tutor, or other) · Your answer to “what is the biggest challenge you’re trying to solve right now?”

How waitlist data is stored

Submissions are logged to a private Google Sheet accessible only to the founder (Juan Oviedo, JDOM LLC). The sheet is not publicly shared and is protected by Google account security including two-factor authentication. We use Google Apps Script — a server-side automation tool running under the founder’s Google account — to process and store submissions.

How waitlist data is used
  • To send you a one-time confirmation email acknowledging your waitlist signup.
  • To notify the EdCipher Math founder of each new signup for product-planning purposes.
  • To segment and prioritize founding access invitations based on role.
  • To inform product development decisions — your challenge response is read by the founder and used to understand what problems EdCipher should solve first.
  • To send infrequent product updates (approximately 2 emails per month) until you unsubscribe or the Platform launches.
Duplicate prevention

Our system checks for duplicate email addresses at the time of submission. If your email is already in our waitlist, your submission is silently skipped — no additional data is stored and no additional emails are sent.

Opting out

You can request removal from the waitlist at any time by emailing juan@edciphermath.com with “remove me” in the subject line. We will delete your entry from the sheet and suppress all future emails within 5 business days.

We will never sell or share your waitlist data

Your name, email, role, and challenge response are used solely to manage founding access and improve the product. We do not share this data with third parties, use it for advertising, or add you to any external mailing lists.

How We Use Your Information

  • To manage your waitlist spot and send founding access invitations.
  • To create and manage your account and deliver the services you requested.
  • To personalize your learning experience through our adaptive engine.
  • To track and display your academic progress and assessment results.
  • To communicate with you about your account, updates, and support.
  • To improve our Platform, fix bugs, and develop new features.
  • To process payments and manage billing.
  • To comply with legal obligations and enforce our Terms of Service.

We do not use student data for targeted advertising. We do not sell any personal data — including waitlist data — to third parties under any circumstances.

Legal Basis & Compliance

EdCipher Math operates in compliance with applicable federal and Texas state privacy laws, including:

FERPA — Family Educational Rights and Privacy Act

If we receive student education records from a school, we operate as a “school official” under FERPA, using that information solely for educational purposes as authorized by the institution.

COPPA — Children’s Online Privacy Protection Act

Our Platform and waitlist are not directed to children under the age of 13. We do not knowingly collect personal information from children under 13. If a school contracts with us and enrolls students under 13, the school provides consent as permitted by the FTC’s school exception to COPPA. If we discover we have inadvertently collected data from a child under 13 without proper consent, we will delete it promptly.

Texas Data Privacy and Security Act (TDPSA)

As a Texas-based business, we comply fully with the TDPSA (effective July 1, 2024). We collect only data that is adequate, relevant, and reasonably necessary for our stated purposes. We honor universal opt-out signals and treat all data from users under 13 as sensitive data requiring heightened protection.

Texas Student Privacy Act & Texas SB 1792

When contracting with K-12 institutions in Texas, we comply with the Texas Student Privacy Act — including prohibitions on targeted advertising using student data, selling student data, and building non-educational profiles of students. We maintain written data security practices and support parental rights to review and request deletion of student data.

CAN-SPAM Act waitlist

All emails sent to waitlist subscribers comply with the CAN-SPAM Act. Every email includes a clear identification of the sender (EdCipher Math / JDOM LLC), a valid postal address, and an easy way to opt out of future messages. We honor opt-out requests promptly.

How We Share Your Information

We do not sell your personal information. We may share information only in the following limited circumstances:

  • Google Workspace (waitlist) — Waitlist submissions are stored in Google Sheets and processed via Google Apps Script under the founder’s personal Google account. Google’s privacy policy governs this storage. No one outside JDOM LLC has access to this data.
  • Service Providers — Trusted third-party vendors who help us operate the Platform (e.g., hosting, payment processing, analytics). These vendors are contractually bound to protect your data and may only use it to provide services on our behalf.
  • Institutional Partners — If you access the Platform through a school or institution, we may share your performance data with authorized staff at that institution.
  • Legal Requirements — If required by law, court order, or government authority, we may disclose information as necessary.
  • Business Transfers — In the event of a merger, acquisition, or sale of assets, your information may be transferred. We will notify you before your information becomes subject to a different privacy policy.
  • With Your Consent — We may share information for any other purpose with your explicit consent.

Data Retention

We retain your personal information only as long as necessary to fulfill the purposes described in this policy or as required by law.

  • Waitlist data — Retained until you request removal, or until 12 months after the Platform’s public launch, whichever comes first. After that period, waitlist entries are either converted to active accounts (with your consent) or permanently deleted.
  • Active accounts — Data is retained for the duration of your subscription or institutional agreement.
  • Inactive accounts — Data is deleted or anonymized after 12 months of inactivity, unless a longer retention period is required by law or requested by an institution.
  • Student data provided by institutions — Returned or deleted upon termination of the institutional agreement, in accordance with the terms of that agreement.

Your Privacy Rights

Depending on your location and applicable law, you may have the following rights. These apply equally to waitlist subscribers and Platform users:

  • Access — Request a copy of the personal information we hold about you, including any waitlist data.
  • Correction — Request that we correct inaccurate or incomplete data.
  • Deletion — Request deletion of your personal information, subject to legal obligations. For waitlist subscribers, we will remove your entry from our Google Sheet and suppress all future emails.
  • Opt-Out of Communications — Unsubscribe from waitlist emails at any time by replying with “unsubscribe” or emailing juan@edciphermath.com.
  • Data Portability — Request your data in a portable format.
  • Parental Rights — Parents of minor students may review, correct, or request deletion of their child’s data by contacting us at juan@edciphermath.com.

To exercise any of these rights, contact us at juan@edciphermath.com. We will respond within 45 days as required by Texas law.

Cookies & Tracking Technologies

The waitlist landing page does not use tracking cookies or analytics scripts. Once the full Platform launches, we will use cookies and similar technologies to:

  • Keep you logged in during a session.
  • Remember your preferences and settings.
  • Analyze how users interact with the Platform to improve the experience.

You may disable cookies through your browser settings, but doing so may affect some functionality of the Platform. We do not use cookies for targeted advertising.

Data Security

We implement and maintain reasonable administrative, technical, and physical security measures to protect your personal information. These include:

  • Encrypted data transmission (HTTPS/TLS) on all pages.
  • Google account two-factor authentication protecting waitlist spreadsheet access.
  • Private Google Sheet access restricted to the founder only — not publicly shared or accessible by URL.
  • Secure password storage using industry-standard hashing (at Platform launch).
  • Access controls limiting who within our organization can view personal data.
  • Regular security reviews and updates.

No system is 100% secure. In the event of a data breach that affects your rights, we will notify affected users and institutions as required by applicable law.

Third-Party Services

Our Platform and waitlist currently use the following third-party services:

  • Google Sheets & Google Apps Script — for storing and processing waitlist submissions. Governed by Google’s Privacy Policy.
  • Gmail (GmailApp) — for sending confirmation and notification emails. Emails are sent from the founder’s Google account.
  • Google Fonts — for typography. Google may log font requests. See Google’s Privacy Policy.

At Platform launch, additional third-party services (hosting, payment processing, analytics) will be listed here. Our Platform may also contain links to third-party websites or services. We are not responsible for the privacy practices of those third parties and encourage you to review their policies.

Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or applicable law — including as the Platform moves from pre-launch to public availability. When we make material changes, we will:

  • Update the “Last Updated” date at the top of this policy.
  • Notify waitlist subscribers and registered users via email.
  • Post a notice on the Platform homepage for at least 30 days.

Your continued use of the Platform or retention on the waitlist after any changes constitutes your acceptance of the updated policy.
